Already working with a property manager?

Switch to Capital Property with a clear handover plan

If you're considering a change of property management company, let's talk through your current agreement, the records needed and a coordinated handover for your rental.

Start the conversation

A first conversation. A clear plan before any change in responsibility.

Avalon Peninsula
Newfoundland & Labrador

A considered transition

Keep the tenancy.
Plan the handover.

The existing lease continues under applicable law. Changing property managers does not end the tenancy or allow unilateral changes to its terms.

  1. Talk through your property

We'll discuss the support you need, preferred timing and your existing management agreement, including notice requirements. We'll confirm service fit and the owner's written authority before approaching the outgoing manager.

  2. Review the handover records

After written authority is agreed, we'll coordinate a request to the outgoing manager for the lease, rent and deposit records, documents, photos and keys. Records are reviewed through an approved secure process, with missing items followed up.

  3. Agree responsibilities and timing

We'll plan a cooperative handover with the outgoing manager and coordinate tenant communications once responsibilities and the start date are agreed. Repairs are coordinated with suitable providers.

For the later, secure handover

What we’ll work through together

You don’t need to gather or send these to start a conversation. Staff will confirm authority, secure sharing and any missing-record exceptions.

Lease and rent history

The current lease and amendments, rent ledger, relevant notices and payment arrangements. Changes need the appropriate agreement and legal process.

Security deposit reconciliation

Confirm the amount, applicable interest, payer, current holder, receipt and tenant credit. Any authorised transfer to Capital Property must preserve that credit and be held in an account that meets the applicable Newfoundland and Labrador security-deposit requirements, after custody arrangements are confirmed. This is not a new deposit charge.

Documents, photos and access

Relevant files from the current manager, inspection reports, move-in photos, keys and access arrangements. Missing documents or photos need staff review; they are not treated as proof.

Open items and tenant communications

Outstanding maintenance, existing commitments and a coordinated introduction to tenants. No legal notices, fund transfers or lease changes are triggered by this form.

Deposit collection and transfer arrangements need confirmation before any money moves. Management begins only after written agreement and the applicable onboarding, custody and insurance requirements are met.

A few questions before you begin

I manage the property myself. Is this the right form?

This form is for owners switching from another property management company. If you manage your rental yourself, start with our property assessment.

Do my tenants need to move out?

A management handover is planned around the existing tenancy. It does not itself end a lease.

Can you guarantee my preferred handover date?

We'll review your existing management agreement, notice requirements, written authority and the outgoing manager's handover records before agreeing a start date. Your preferred date is not guaranteed.

Should I upload leases, photos or deposit details here?

No. This first step collects only owner contact and minimal property details. Authorised document review happens later through an approved secure process.

I’m a tenant asking to transfer my lease. Is this the right form?

This page is for property owners discussing management. Please use the appropriate Contact option for tenant enquiries.
